Join Our Team as a Benefits and Leave of Absence Coordinator at Epiroc!
Administers employee benefits and leave of absence programs and serves as a primary point of contact for employees, managers, and external vendors. Ensures accurate eligibility determinations, timely communications, and compliant administration of leaves and benefits in accordance with federal, state, and local laws and organizational policies.

Principal Responsibilities
- Administer leave of absence programs (e.g., FMLA, ADA accommodations in partnership with HR, state paid family/medical leave, parental leave, personal and medical leaves) from intake through return-to-work.
- Coordinate short-term disability (STD) and long-term disability (LTD) claims with carriers/third-party administrators (TPAs), ensuring timely certification, approvals/denials, and employee communications.
- Provide employee education and guidance regarding benefits and leave options, eligibility, required documentation, timelines, and pay impacts.
- Maintain accurate records in HRIS/leave management systems; ensure data integrity, auditing, and document retention consistent with policy.
- Calculate and track leave entitlements, intermittent leave usage, and accrual impacts; coordinate with Payroll on pay codes, benefit premiums, and deductions.
- Manage benefits enrollment changes triggered by qualifying life events; ensure correct effective dates and vendor updates.
- Serve as liaison with benefits vendors (medical, dental, vision, life, disability, retirement, EAP, FSA/HSA) and resolve escalated eligibility, enrollment, and claims issues.
- Support annual open enrollment: prepare communications, assist employees, validate elections, and reconcile vendor files.
- Generate routine and ad hoc reports (leave usage, trends, compliance metrics, vendor reconciliations) and recommend process improvements.
- Ensure compliance with applicable laws and regulations (e.g., ERISA, HIPAA, COBRA, FMLA, ADA, state leave laws) and maintain confidentiality of sensitive information.
- Partner with HR Business Partners and managers on return-to-work coordination, interactive process steps, and accommodations documentation workflows.
- Contribute to benefits/leave policy documentation, employee guides, and standard operating procedures (SOPs).

Required Qualifications
- Bachelor’s degree in Human Resources, Business Administration, or related field, or equivalent combination of education and relevant experience.
- 2+ years of experience administering benefits and/or leave of absence programs, or comparable HR operations experience.
- Working knowledge of leave administration requirements (FMLA and state leave laws) and disability/benefits coordination.
- Experience using an HRIS and/or leave management system (e.g., Workday, UKG, ADP, Dayforce, or similar).
- Strong attention to detail with demonstrated ability to handle sensitive/confidential information.
- Proficiency with Microsoft Excel and Word (e.g., filtering, lookups, basic data reconciliation).
- Excellent written and verbal communication skills with a customer-service mindset.
Preferred Qualifications
- Professional certification such as CEBS, SHRM-CP/SCP, PHR/SPHR, or similar.
- Experience with COBRA administration and vendor file reconciliation.
- Experience supporting ADA interactive process documentation and return-to-work coordination in partnership with HR/Legal.
- Knowledge of ERISA, HIPAA privacy practices, and benefits plan documentation (SPDs, plan documents).
- Experience with multi-state workforce leave administration.
- Experience with Dayforce is a plus.
