Job Description:
- Office Administration
- Supervise and execute office administrative procedures, policies, and workflows to ensure operational efficiency.
- Maintain organized physical and electronic filing systems and office databases, ensuring data accuracy and confidentiality.
- Ensure full compliance with Health, Safety, Environment, and Quality (SHEQ) policies and guidelines.
- Apply for and renew all environmental and safety licenses and certificates as required by the Hong Kong government.
- Oversee the maintenance of office facilities and equipment, including telephone systems, printers, computers, and air-conditioning units.
- Coordinate office renovation projects, repairs, and building maintenance matters.
- Manage company vehicle administration, including vehicle licensing, toll fees, fuel expenses, and leased vehicle arrangements.
- Support business travel arrangements for the Hong Kong office, including hotel reservations and flight bookings.
- Prepare, process, and manage various documentation, including correspondence, quotations, contracts, and manual invoices.
- Monitor workflows and documentation related to machinery/equipment rental operations, including issuing monthly invoices and preparing relevant reports.
- Process procurement requisitions through the PTP (Procure-to-Pay) system and monitor compliance with procurement policies.
- Perform any other administrative, analytical, or operational duties as assigned.
- Marketing Analysis
- Support the overseas expansion of the TTM 2.0 initiative, assisting in project execution and rolling management.
- Identify and acquire high-potential sales leads through market research, digital outreach, and partnerships; distribute leads via sales force and track progress.
- Conduct monthly performance reviews to assess progress and identify gaps.
- Analyze order-lost and customer conversion rates to refine targeting strategies and improve lead qualification.
- Work closely with sales teams and business lines to align marketing efforts with business objectives and ensure a cohesive customer journey.
- Monthly newsletter and report preparation, along with other ad hoc tasks.
Experience requirements:
- 2+ years of experience in administrative, marketing analysis, or customer acquisition roles.
- Experience in international or cross-market projects is preferred.
- Experience with procurement or rental operations is a plus.
Knowledge / Educational requirements:
- Bachelor’s degree in Marketing, Business Administration, Economics, Data Analytics, or a related field.
- Fluent in English (both written and spoken) is essential.
- Proficient in Microsoft Office applications (Word, Excel, PowerPoint).
- Proficiency in data analysis tools (e.g., Excel) and CRM platforms (e.g., Sales force) is highly desirable.
- Strong analytical mindset with the ability to translate data into actionable insights.
- Strong organizational skills with the ability to multitask and prioritize in a fast-paced environment.
