Education

Bachelor's degree in a relevant field such as Human Resources, Business Administration, or a related discipline.

 

Experience and Knowlwdge

Minimum 3 years of experience in Payroll and/or HR Administration roles.

Fluency in English and Portuguese (spoken and written) is mandatory

Strong understanding of HRIS and payroll practices and basic accounting principles.

Experience with cloud-based HR administration systems, as well as familiarity with CRMs like ServiceNow or Microsoft Dynamics.

Experience with the automation and digitalization of HR processes, with a continuous improvement mindset.

Exceptional customer service skills, with the ability to effectively communicate and resolve issues while maintaining confidentiality.

Responsibilities

  1. Maintain and update HR master data in alignment with legal reporting standards and organizational policies, ensuring data integrity and compliance.
  2. Stay current with and adhere to internal HR processes and policies, ensuring that all HR activities are compliant and up-to-date with company standards according to the Epiroc Way.
  3. Serve as a key point of contact for internal stakeholders, providing clear, accurate information and advice related to HR Administration and Payroll processes.
  4. Manage external providers such as payroll, Time & Attendance, relocation, tax, and pension vendors.
  5. Generate ad-hoc reports for internal stakeholders while maintaining confidentiality.
  6. Manage incoming support tickets related to HR Administration through Service Now, ensuring timely and accurate resolution.
  7. Ensure the confidentiality of all HR data by adhering to company policies and legal requirements, implementing secure practices for handling, storing, and sharing sensitive information.
  8. Continuously improve HR processes by identifying inefficiencies, automating manual tasks, and driving the adoption of best practices across the HR function.
  9. Collaborate with HR colleagues locally, regionally, and globally under the "One HR" philosophy.
  10. Maintain meticulous payroll records and update employee statuses.
  11. Prepare payroll financial reports aligned with accounting standards.
  12. Manage payroll and tax administration processes for international assignments in collaboration with HR Specialists.
  13. Complete the RCoE cost distribution to supported entities in collaboration with accounting teams, ensuring accurate and timely invoice creation and cost allocation.
  14. Enhance efficiency through continuous process analysis and improvement, leveraging digitalization, AI, and agile ways of working.
  15. Act as a role model for evidence-based, data-driven, and future-oriented HR practices.
  16. Actively contribute to the continuous improvement of the HR Excellence model and its processes.
  17. Collaborate with HR teams locally, regionally, and globally under the OneHR philosophy.
