EXECUTIVE ASSISTANT TO THE PRESIDENT & CHIEF EXECUTIVE OFFICER (CEO)

If yes, you might be our new Executive Assistant who will provide administrative, operational and business support to our CEO and Chairman.
About the role
As Executive Assistant you will serve as the “right hand” to our CEO in various matters, from business-related to administrative. This role requires a highly organized, adaptable, and strategic thinker who can manage priorities, facilitate relevant material and enhance organizational efficiency. Some of the key priorities include:
- Balancing the external and internal priorities of our CEO.
- Facilitating the gathering of data to support fact-based decisions for our CEO.
- Managing our CEO’s schedule, to ensure alignment with key priorities.
This position reports directly to our CEO, Helena Hedblom.
Key responsibilities
- Plan our CEO’s short-, mid- and longer-term agenda, optimizing constraints and ensuring efficiency and balance.
- Prepare our CEO’s internal and external meetings:
- Coordinate input from Group divisions & functions and review, synthesize & prepare briefing material for internal and external meetings.
- Assist in the preparation of recurring meetings, setting the EGM agenda
- Prepare the agenda for EGM Team meetings.
- Support the preparation of specific presentations for Board meetings.
- Support the preparation for Annual General Meetings
- Prepare our CEO’s international visits:
- Set the agenda for internal and external meetings, ensuring effectiveness and efficiency.
- Support CEO communication:
- Prepare & review our CEO’s communication materials in close collaboration with the Group Communication department (internal & external CEO messages, articles, interviews etc.)
- Manage our CEO’s information flow:
- Clean, prioritize & follow up on information & requests to the CEO to facilitate daily decision making.
- Compile relevant reading material on a weekly basis.
- Be the gatekeeper of our CEO´s calendar, and make sure to optimize the time spent on different matters.
- Lead specific projects for our CEO or the EGM as a whole:
- Prepare annual Board trips.
- Attend EGM meetings (as a silent observer).
- Support the Chairman and the Board with administrative support.
Experience and requirements:
- A relevant academic degree.
- +5 years business and project management experience driving execution and adoption of strategic programs.
- Excellent organizational and time-management skills, ability to navigate ambiguity, and strategically manage details and changing priorities.
- Proactive and creative thinker with a strong business, result-driven and problem-solving mentality.
- Experience in handling highly sensitive and confidential information with integrity and discretion.
- Cross-cultural awareness and ability to work effectively, communicate and build strong relationships with diverse teams across different regions.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools (Teams, SharePoint), Director´s Desk.
- Excellent communication skills in both English and Swedish, both spoken and written.
