Job description / Mission:
- Provide executive & administrative support to the Manager, such as arrange meetings, visitors receiving, etc.
- Organize staff engaging activities and company events such as Annual Party, Family Day, Sports Day, etc.
- Assist in suppliers management, such as canteen supplier, shuttle bus supplier, office and premise cleaning company;
- Being responsible for collecting, checking and allocating expenses to the concerned department and arrange payment on a monthly basis with high accuracy, the expenses including: office equipment, cleaning equipment and etc.;
- Support on canteen monthly payment accuracy;
- Check the debit notes of possible office administrative expenses on a monthly basis;
- Purchase and manage stationary & cleaning items including distribution and stock management;
- Responsible for daily matters such as booking domestic and international travel air tickets, transportation service reservations, visa processing, and personnel reception arrangements Responsible for daily administrative notifications and event promotion. By releasing and operating through the company's wechat official account, the efficiency of internal information transmission and the corporate image can be enhanced.
- Article writing and release on Company Wechat related to admin issues, company events, etc.
- Continuously improve office environment and bring better office experience, therefore improve employee satisfaction.
- Strictly abide by safety production regulations and operating procedures;
- Master the safety production knowledge required for the position, and implement safety production requirements and standard. Participate in the identification and control of hazard and safety risks;
- Maintain communication with various departments, external partners and employees, promptly convey notifications, collect feedback, coordinate and solve cross-departmental issues, keep good records and follow up to the end. At the same time, it is also necessary to respond to the temporary and urgent tasks of other departments at any time, handle sudden demands quickly, and improve the overall response speed
Experience requirements
- 2-5 years of corporate administrative, general management, or office operations experience. Candidates with backgrounds in manufacturing, technology, or companies with 100+ employees are preferred.
Knowledge
- Strong knowledge of MS Office, including Word, Excel, PowerPoint.
- Knowledge in Company Wechat edit function
- Strong level written and verbal communication skills in English.
- EHS related competence will be needed.
- Knowledge in relevant safety, health and environment laws, regulations, requirements.
Educational requirements
- Diploma or above, major in English or Business Administration preferred.
