Business Development Operations Specialist

The Business Development Operations Specialist plays a key role within the Business Development organization of the Surface Mining Automation Center (SMAC), driving the successful pursuit, coordination, and closure of deals related to advanced surface mining automation solutions. The position is primarily focused on enabling the successful sale of Autonomous Haulage Systems (AHS) and other automation offerings that form part of the LinkOA open autonomy platform.
This role ensures seamless coordination across the sales process by managing end-to-end proposal development, maintaining high-quality documentation, and orchestrating collaboration between regional AHS Business Development Managers, Product Management, Engineering, and other internal stakeholders such as Finance, Legal, and Project Execution. The specialist acts as a central hub, ensuring technical and commercial inputs are consolidated, deadlines are met, and all sales materials align with customer requirements and internal standards.
With a strong emphasis on structure, precision, and cross-functional coordination, the Business Development Operations Specialist drives operational excellence and consistency across global sales opportunities. The role is essential in supporting the growth of automation solutions within Epiroc’s portfolio, enabling the BD team to focus on strategic engagement while ensuring that supporting processes, documentation, and internal collaboration run smoothly.

Key Responsibilities
Proposal & Bid Coordination
· Coordinate the end-to-end process for proposals, bids, and customer responses, ensuring on-time and high-quality delivery
· Track proposal timelines and maintain an active pipeline of bid milestones and deadlines
· Consolidate inputs from technical, commercial, and legal teams into cohesive sales documentation
Sales Documentation Management
· Own and maintain templates, document repositories, and version control for all BD-related materials
· Ensure consistency, quality, and compliance across all customer-facing documents
· Support preparation of presentations, capability statements, and project case studies
Operational Support & Process Optimization
· Collaborate with internal stakeholders to gather cost estimates, timelines, and deliverables for inclusion in proposals
· Identify and help implement process improvements across BD workflows and documentation standards
· Support pipeline reporting and CRM data quality to help the BD team make informed decisions
Cross-Functional Collaboration
· Act as a liaison between BD and departments such as engineering, finance, project delivery, and legal
· Coordinate internal reviews and approvals prior to proposal submission
· Assist in post-bid debriefs and lessons learned documentation
Site visit coordination & studies:
· Coordinate and facilitate customer site visits, particularly with Roy Hill, ensuring agendas, logistics, and stakeholder engagement are aligned to support strategic deal advancement.
· Act as liaison between SMAC teams and customer representatives to ensure alignment on technical and commercial expectations during site engagements.
· Support the planning, coordination, and execution of site feasibility studies for autonomous solutions and LinkOA platform integration.
· Participate in on-site feasibility assessments to gather operational, technical, and environmental data relevant to solution deployment.
· Work closely with engineering, product management, and sales teams to ensure feasibility studies reflect both customer needs and SMAC capabilities.
· Consolidate findings from site visits and feasibility studies into clear, actionable reports for internal stakeholders and executive decision-making.
· Track follow-up actions from site engagements and ensure timely resolution of outstanding items in collaboration with technical and commercial teams.
Qualifications & Experience
· 3+ years of experience working in a technical role within the LinkOA platform & environment
· 3–5+ years of experience in business development, sales operations, or proposal coordination
· Proven track record in managing complex proposal and bid processes in a technical or project-based industry (e.g. mining, construction, technology, engineering)
· Exceptional organizational skills and attention to detail
· Strong verbal and written communication skills
· Proficiency with MS Office (especially Word and PowerPoint), CRM tools (e.g. Salesforce, HubSpot), and document management platforms
· Ability to manage multiple priorities under tight deadlines
Preferred skills
· Experience with tender portals or bid management platforms
· Familiarity with pricing frameworks, project estimation basics, or commercial terms
· Background in a B2B, technical, or capital-intensive industry
